DETAILS AND RULES FOR THE 2013 A.E. VAN VOGT AWARD

1. The Prize

a) The A.E. Van Vogt Award (A.E.V.V.A.) is a $1200.00 cash prize and a presentation piece going to the winner of the award.  The prize is awarded annually to the author of the best full-length science fiction novel or full-length science fiction short story anthology published in English, either originally or in translation from Western Canada.

b) In the event a translation wins, the author will receive $850.00, the translator $350.00.

c) The A.E. Van Vogt Award was created by the Winnipeg Science Fiction Association (WINSFA) to honour A.E. Van Vogt, a Manitoba born writer with the unique position of being Canada’s only winner of the Damon Knight Memorial Grand Master Award. We extend our sincere gratitude to Van Vogt’s family for granting permission to honour his name & works.

2. The Jury

a) Each year, an appointed jury panel will be responsible for compiling a longlist of not more than 10 titles, and a subsequent shortlist of not less than three and not more than five of the outstanding books submitted to the A.E. Van Vogt Award. From the shortlist, the jury panel will be responsible for selecting one winner.

b) The jury panel vows not to divulge or discuss any of the books submitted for the prize with anyone outside of the jury panel. The jury panel agrees to discuss the books under consideration only with their fellow jurors.

c) The jury panel will pick the best books without any consideration given to publisher, geography, gender or ethnicity.

3. Eligibility Criteria

a) To be eligible, a book must be a first-edition full length science fiction novel or full-length science fiction short story anthology, written by a Canadian citizen from Western Canada.

b) Books must be published in English between March 1, 2007 and December 31, 2012. Previous publication of a book in another language or in another country does not disqualify it. In the case of a translation, the original authored book must be published no more than five years prior to its English translation.

c) Any English language story collections containing work published before March 1, 2007 in book form will not be eligible unless the number of new stories outweighs the number of previously published ones

d) To be eligible, a book must be published in English, either originally or in translation. (In the case of a translation, the original work must be authored by a Canadian citizen from Western Canada).

e) No entry shall be ineligible because its author has won either the A.E. Van Vogt Award or any other prize previously.

f) All books/e-books must carry an ISBN number and be available for sale in bookstores in Canada.

g) No self-published books shall be eligible (that is, titles authored by any senior officer of the book’s publishing firm and/or books underwritten in part or in whole by the author).

h) E-book submissions are encouraged, providing the book is also published in material-bound form. Both formats must be submitted and published within two weeks of each other to be eligible.

i) The decision of the judges as to whether a book is eligible shall be binding and no correspondence shall be entered into.

j) Authors must be living at the time of the prize.

k) Children’s books will only be accepted on the condition that they have also been published by an adult imprint within the specified dates.

l) All submissions are made on a confidential basis.

4. Conditions of the Prize

Any eligible book which is entered for the award will only qualify for the award if its publisher agrees:

a) to use their best endeavours to ensure that authors whose books are submitted make themselves available for all reasonable publicity, including interviews, readings and appearances from longlist stage on.

b) to contribute $300.00 towards general publicity if the book reaches the shortlist.

c) to contribute a further $300.00 if the book wins the prize.

d) to use their best efforts to sticker copies of the shortlisted and/or winning book(s) on all subsequent reprints with the A.E. Van Vogt Award seals (to be provided by the prize) and, when including facsimiles of the A.E. Van Vogt Award seal on all reprints of the shortlisted and/or winning book(s), to secure the prior approval of the prize with respect to artwork.

e) to sign a permissions agreement for books submitted to the A.E. Van Vogt Award granting the A.E. Van Vogt Award the right to authorize a Canadian publisher of its choice permission to reproduce, non-exclusively within Canada, an excerpt, chapter or short story from the works of your authors who are nominated for or named the winner of the A.E. Van Vogt Award for use in any A.E. Van Vogt Award anthology or anthologies. Publishers will receive a one-time fee as compensation for such permission.

5. Submission Procedures and Deadlines

a) Publishers are asked to provide e-books in addition to material-bound books wherever possible. Publishers may enter up to three full-length science fiction novels or science fiction short story anthologies, each of them published after March 1, 2007 or prior to December 31, 2012.

b) Entries (finished books or galleys, no loose pages) are to be submitted according to the following schedule:

c) Books received or postmarked after the final deadline of August 31, 2013 will not be eligible.

d) The A.E. Van Vogt Award also requests that publishers submit by the second deadline of August 21, an advance notice list of all eligible science fiction. This list must include title, imprint, author, ISBN, and date of publication.

e) The A.E. Van Vogt Award may, at any time, call in a book, even if that book has not been submitted as an eligible title. In that event, the publisher will be required to complete an entry form, sign and submit the entry form along with three copies of an e-book or five copies of the printed book to the committee, and comply with all other Rules and Regulations.

Submissions must be received or postmarked no later than August 31, 2013.

f) Receipt of submissions will be acknowledged in writing by the Award.

g) No book entered or called in will be returned to publishers.

i) In addition to the entry form, publishers are asked to e-mail to perpigillium@gmail.com, by August 31, 2012, a high res image (at least 1mb/3OOdpi) of the submitted book cover, a press release and author biography and picture for use in print and on http://www.aevva.ca.

6. Finalists

a) A long list of finalists will be announced with a press release on September 15, 2013. A shortlist of finalists will be announced at a news conference on September 30, 2013. Publicity, promoting the prize and the shortlisted authors, will begin at that announcement and continue until the winner is declared.

b) The winner of the A.E. Van Vogt Award will be announced at a ceremony in Winnipeg on or before December 30, 2013.

c) The jury panel will select the longlist, shortlist and the winner in private deliberation immediately preceding each announcement. Publishers should be aware that they will receive no advance notice of the finalists or the winner.
